Kaarya is booking software for salons. A salon uses it to take bookings and send reminders over WhatsApp. If you have messaged a salon that uses Kaarya, this page describes what is held about you, by whom, and how to get it back or have it removed.
Who holds your information
The salon does. Kaarya runs the software and stores the data on the salon’s behalf. Each salon can see only its own customers; we do not combine information across salons, and one salon cannot see another’s bookings or customers.
What is collected
- Your WhatsApp phone number. This is how the salon recognises you and how reminders reach you.
- Your name, as you gave it or as your WhatsApp profile shows it, and a note of which of those it came from.
- Your bookings — what you booked, when, with which stylist, what it cost, whether you came, and any cancellation and the reason given.
- Payments and packages — what you paid, how, and the balance of any prepaid package or credit you hold.
- The messages between you and the salon. The full text of every message is stored, in both directions, with the time and whether it was delivered.
- Whether you agreed to receive offers, and the exact wording you were shown when you agreed or declined.
- Who referred you, if you gave a referral code, and your own code.
There is no tracking on this website, no advertising identifiers, and no third-party analytics. We do not collect your location, your contacts, or anything from your phone.
Why
- To take and keep your booking, and to send you a reminder about it.
- To let the salon bill you correctly and track a package you paid for.
- To answer you on WhatsApp — the message history is what lets a person at the salon pick up a conversation the software could not handle.
- To send offers only if you agreed to them. We keep a record of that agreement because we are required to be able to show it.
- To keep an accurate financial record, which a business is required to retain.
WhatsApp and Meta
Messages are delivered through the WhatsApp Business Platform, operated by Meta. To send you a message we pass Meta your phone number and the content of that message. Meta handles it under its own terms and privacy policy, which we do not control.
This is not optional or incidental: WhatsApp is the product. If you would rather the salon did not message you there, ask them to contact you another way.
Where it is kept
On servers in Singapore (Amazon Web Services, ap-southeast-1), using a managed PostgreSQL database. It is encrypted in transit and at rest by those providers.
We have said Singapore rather than India deliberately, because it is true. Your information leaves India to reach us.
How long it is kept
We keep it until the salon asks us to remove it. There is no automatic deletion after a fixed period today, and we would rather tell you that plainly than name a number nothing enforces.
Some records cannot be removed even on request: the financial history of money you paid, and the record of an agreement you gave or withdrew. Those are kept because a business has to be able to account for both. Everything else — your name, your number, your messages, your bookings — can be.
Stopping messages
Reply STOP to the salon on WhatsApp at any time. That stops promotional messages immediately, and the choice is recorded with the date.
Messages about a booking you already made — a reminder, a confirmation, a cancellation — are not promotional and will still reach you. To stop those as well, ask the salon to cancel your bookings.
Getting your information, or having it removed
You have the right to ask what is held about you, to have it corrected, and to have it removed. To do either:
- Message the salon on WhatsApp and say so in your own words — for example “send me my data” or “delete my data”. A person at the salon will see it.
- Or email us at privacy@kaaryaofficial.com, saying which salon you are a customer of.
This is handled by a person, not automatically. There is no button in WhatsApp that erases your record today. Your message reaches the salon and we carry the request out by hand. We aim to answer within 30 days.
Who else sees it
The salon you are a customer of, and its staff. Kaarya staff, only when needed to run or fix the service. Meta, to deliver your messages. Our hosting providers — Amazon Web Services and Neon — which store the data but do not use it. Nobody else. We do not sell it, and we do not share it for advertising.
Children
Kaarya is for adults booking salon appointments. We do not knowingly collect information about anyone under 18.
Changes
If this changes we will update the date at the top. We are a young company and this page will get longer as the software does; it will not get less accurate.
Contact
If you are not satisfied with how we handle a request, you may complain to the Data Protection Board of India under the Digital Personal Data Protection Act, 2023.
